INSTRUCTIONS for Camera-Ready Paper Submission

The following steps give you detailed instructions to prepare your camera-ready paper.

Final paper submission consists of six critical steps:

  1. Send your registration
  2. Format the final version of the paper
  3. Generate Xplore-compatible PDF format paper
  4. Submit the final PDF version on the EDAS system
  5. Complete the Copyright Form
  6. Submit the Copyright Form on the EDAS system

Failure to comply with all the required elements will lead to the removal of the paper from the technical program and the conference record.

Important notes:
  1. If your paper is accepted as “Full paper” then the camera-ready version is limited to 6 double column pages (maximum of 2 additional pages allowed – 8 pages in total – with over-length page fee of 100€/page)
  2. If your paper is accepted as “Short paper” then the camera-ready version should be reduced to 3 double column pages (maximum of 1 additional page allowed – 4 pages in total – with over-length page fee of 100€/page)

Manuscripts will be scheduled for oral or poster presentation only if at least one of the authors pays the FULL registration fee. Please also note that 2017 Wireless Days Conference reserves the right to exclude a paper from distribution after the conference (e.g., removal from IEEE Xplore) if the paper is not presented at the conference. Also notice that the registration fees for authors are not refundable.

Step 1: Send your registration
For each accepted paper (Full or Short), at least one author must register at a FULL registration rate for the conference. One full registration fee includes the publication of one paper.
For any problem with fees for authors, contact WD2017 chairs.

For other registration information, go to the Registration link.

Step 2: Format the final version of paper
Please read the reviews and follow the reviewers’ recommendations for revising your final paper. To guarantee good quality proceedings contents, your paper must comply with the Wireless Days 2017 paper specifications.
  1. The MS Word template can be obtained here
  2. Latex templates can be obtained here for Unix or here for Windows.
  3. Bibliography files can be obtained here for Unix or here for Windows

In particular, this means:

  • Paper length is limited to 6 double column pages for Full papers (+up to 2 additional pages with fees : 100€/page) and 3 double column pages for Short (poster) papers (+up to 1 additional page with fees: 100€/page)
  • Use two-columns IEEE Conference Proceedings style in a 10-point-font, A4 page
  • Latex users must follow the bare_conf.tex example included in the Latex template. You must also use the following command \documentclass[10pt,conference]{IEEEtran}. Moreover, use IEEEtran.bst included in the Bibliography file as reference style.

(Note: with IEEE conferences, the author affiliation is listed under the author’s name, unlike IEEE transactions)

  • PDF format only is accepted
  • Do NOT use page numbers, headers, or footers on your manuscript
  • Do NOT apply security settings to your PDF file
  • Do NOT include hyperlinks in the document (e.g., clickable web site addresses in the references)

Print out a hard copy of the paper for final content review. Review very carefully the formatting requirements. In particular, check acknowledgments, equations, and author affiliations.

Step 3: Generate Xplore-compatible PDF format paper

IEEE is very strict about the requirements for converting application files or PostScript files to full-text PDF for inclusion in IEEE Xplore. IEEE Xplore Requirements for PDF will be enforced. All conference articles submitted for inclusion in IEEE Xplore must be in Xplore-compatible PDF format. To verify/obtain your camera-ready Xplore-compatible paper, follow the instructions below:Log in to the IEEE PDF eXpress site

First-time users should do the following:

  1. Select the “New Users – Click here” link
  2. Enter the following:
  3. 39649X for the Conference ID
  4. Your email address
  5. A password
  6. Continue to enter information as prompted

An Online confirmation will be displayed and an email confirmation will be sent verifying your account setup.

Previous users of PDF eXpress need to follow the above steps, but should enter the same password that was used for previous conferences. Verify that your contact information is valid.

After executing all steps, you will obtain an Xplore-compatible PDF that must be submitted on EDAS.

Step 4: Submit the PDF paper file on the EDAS system

To appear in the proceedings of the conference we must have the final version of your full camera-ready paper by February 15th, 2017. Your camera-ready Xplore-compatible paper must be uploaded electronically through the EDAS system. Please update the author names, the title, and the abstract of your paper on EDAS as well.

Step 5: Complete the Copyright Form

Poster Presentation Guidelines

Authors of short papers assigned to poster sessions should be sure that the title and content of the poster correspond to the title and content of the short paper included in the technical program. The poster should be displayed (on provided vertical high grids) so that a number of people can view the presentation at the same time. The poster should be prepared with the maximum dimensions of A0 size.
